Submission Guidelines and Related Information

Unless otherwise noted, PENUMBRA PUBLISHING IS OPEN FOR SUBMISSIONS

Penumbra Publishing is looking for great books in various genres for royalty-paying publishing. We consider new unpublished manuscripts or previously published and 'out of print' books, as long as no publisher holds current rights, and the book is not subject to an active sales distribution contract. Self-published authors who wish to have their books republished by Penumbra Publishing will be required to sign an exclusive publication contract required of all authors whose books we publish. This means self-published books must be removed from active markets when or before a contract is signed with Penumbra Publishing.

Any self-published author who wishes to have a currently-published book listed on our site for sales promotion purposes may submit the book per our sales promotion guidelines below. Authors published by other publishing companies should contact their publishers for permission before submitting books for sales cross-listing on our site, and refer to the guidelines for sales promotion below.

Authors - please review the following information before submitting your manuscript for publishing consideration. Please note that our guidelines may change from time to time, so it is important to review all guidelines carefully before submitting. We are not inclined to review material sent by authors who cannot or will not abide by our guidelines. A. OPEN FOR SUBMISSIONS AND RESPONSE TIME: Unless circumstances dictate otherwise, we are always open for submissions and do our best to respond within a reasonable amount of time. It will take a month or more to look over a full manuscript, depending on our production schedule at the time. We might get to it sooner, but that is the usual time frame required. We will try to acknowledge receipt of queries/submissions within three business days. However, we will require more time to provide a publishing decision, depending on our current workflow schedule. If we feel a manuscript is ready for publishing and meets our requirements, we will offer a publishing contract at the time of follow-up contact. If the author has not heard from us within one month after we acknowledge receipt of the submission, we recommend following up via email, as sometimes queries do 'fall through the cracks.'

B. MULTIPLE / SIMULTANEOUS SUBMISSION POLICY: We will NOT consider simultaneous submissions that are currently under consideration by other publishers. NO EXCEPTIONS. Our time is valuable to us, and therefore we will concentrate our efforts only on authors who are interested in publishing with us. When an author sends us a submission, we expect to have a reasonable amount of time to complete a review and make a recommendation before the author offers the property to another publisher. If we find that the property is also being considered elsewhere while we are looking at it, we will immediately stop review of the author's work and most probably will refuse to look at other work by the author.

We will consider multiple manuscript submissions (two or more manuscripts from the same author submitted to us at the same time or in quick succession), but our production schedule limits the number of manuscripts we can review and process for publication. Authors submitting a manuscript that is not part of a completed series are asked to wait for a response from us regarding the manuscript already submitted before querying us with a different manuscript. Once our determination regarding the first manuscript is received, the author is welcome to send another for consideration, or resubmit a revised manuscript on which we requested revisions for reconsideration. Series with two or more volumes will be considered as a package if the entire series is completed at the time of publication. A planned series in which subsequent volumes are completed after the initial contract will be considered and contracted on an individual basis or added to the original contract at our discretion.

C. COPYRIGHTS AND COMPLETE WORK: All submitted manuscripts must be complete at the time of inquiry. We do not consider unfinished writing projects based on proposals or partial submission packages.

We will consider publishing new unpublished or previously published works for which the author holds all copyrights. At the time of submission, the author must provide proof of permission to use any copyrighted material from other sources that may be contained in the manuscript, or else delete the copyrighted material prior to submission. (Other copyrighted material might include song lyrics, movie dialog replicated in print, etc. Short quotes or references considered 'fair use' would be excluded from this requirement, but it is the author's responsibility to properly determine and adhere to 'fair use' prior to submission.)

D. WHAT WE DO (AND DO NOT) PUBLISH: We publish fiction only at this time and prefer to deal only with novel-length works (above 50,000 word-count). We will consider novellas (30,000-50,000 word-count) but may not consider it for print distribution. For authors interested in submitting material to us for publishing, please note the following:

We will consider any fiction genre, including literary and mainstream, reserving the right to categorize the work according to our marketing assessment.

We are not opposed to erotica or alternate-lifestyle and cross-gender stories. However, other venues may be better suited to represent these types of stories, as we are not positioned properly at this time to promote these genres. Neither do we anticipate following the path of many online romance publishers that focus strictly on erotica and/or alternative-lifestyle storylines, as we see no reason to compete in a market that already appears saturated. If we receive an erotic or alternative-lifestyle submission that has already been rejected by the usual list of publishers specializing in that type of novel, we will consider the submission on that basis and on its own quality merits. Our primary goal is to give unpublished or overlooked fiction a reasonable chance at publication.

E. HOW WE DECIDE WHAT TO PUBLISH: As always, our goal is to provide publishing opportunities for emerging authors and those not adequately served by other publishers. However, our first priority is to offer quality books to our readers, which we think will sell and be adequately promoted by the author. We read every submission to ensure each book we publish at least meets minimum writing standards, with the understanding that editing will bring the story to a level of reading enjoyment expected from professional authors. Also we look closely at the market to anticipate the popularity of a specific story. Last, we require that our authors participate actively in self-promotion and will at the time of reviewing a submission expect to see evidence that the author has already taken steps to become familiar with self-promotion techniques, such as maintaining an active web site or blog site, among other things.

When possible, for books we do not accept, we will give a specific summary of suggestions to amend submissions to meet basic writing quality standards. Any suggestions for change do not constitute an offer to publish, and any changes made by the author do not automatically guarantee acceptance for publication. Suggestions, when given, are merely our opinions regarding how the manuscript might be altered to fit what we consider to be basic quality standards. The effectiveness of implemented changes must be judged as part of the overall assessment process in deciding if a modified manuscript meets minimum standards for publication.

A special note about tense, person, dialog, and point-of-view: We have no preference regarding what verb tense is used in writing a novel - 'he is' or 'he was' or 'he will' - as long as the usage is consistent and appears to be a good choice for the voice and theme of the story. The same holds true for 'person' (first-person, second-person, third-person, as in 'I did,' 'you did,' or 'he did'). Treatment needs to be consistent and appropriate for the story.

In particular, we pay attention to the use of dialog tags - their mechanical structure, frequency, and whether or not conversations can be followed easily between two or more characters. Overusing tags is problematic, but so is not using enough tags to make it clear which character is speaking. As a general rule, it is not a good idea to feed backstory or other plot/character information to the reader with large sections of uninterrupted speech by one character (monolog). Also, dialog should 'sound' natural but not be so mutilated in an attempt to mimic accents or colloquial speech patterns that the result is difficult or near-impossible to read.

We are especially sensitive to treatment of point-of-view (the character through which the reader is 'seeing' the story). POV should be consistent and chosen well for the voice and theme of the story. POV can be omniscient (told from a 'god-like' all-knowing narrator point of view), or limited multiple (told from several different characters' points of view), or single deep POV (inside the head and thoughts of only one character), or any combination or mutation thereof, as long as POV choices are logical to the story and do not confuse the reader. As a general rule, the writer should never momentarily switch to another character's POV within a scene - this practice is commonly referred to as 'head-hopping.' Some prominent writers make indiscriminate use of this technique, but we do not condone it for the simple fact that it disturbs the reading flow and pulls the reader out of the story because the reader has to stop and figure out who the POV character is at any given point in the story. In our editorial opinion, that practice destroys the illusion of believability and ruins the reading experience. Therefore if we see indiscriminate mixing of POVs with no logical or stylistic justification, we will advise the writer to rewrite and resubmit or seek the help of a good critique partner/group before resubmitting.

For writers whose books show promise but require writing help to correct fundamental problems beyond the scope of normal editing, we may, at our discretion, offer to work with the author to provide partial editorial assistance from which the author can learn and follow recommendations in the remainder of the manuscript. We do not charge for this service but reserve it strictly for writers serious about publishing with us. Again, this service is free of charge but is offered on a conditional basis, subject to availability of our staff to volunteer the required time and effort.

F. GENRES: For marketing purposes, genre stories should meet typical reader expectations for that genre, subgenre, or cross-genre. Some genres have strict storyline formats that should be followed. Genre ‘rules’ can be bent or broken for the sake of a good story, but the resulting story may no longer fit the prescribed boundaries of the genre and therefore could be more difficult to market. While some genres are more popular than others, and some seem to be falling out of favor, we do not want to shut the door on any story that is well-written and interesting to read.

Books categorized in a certain genre should fit the basic tenets ascribed to that genre. For instance, if your romance story does not end with two romantically involved main characters (a man and a woman) getting together ‘happily ever after’ or with the expectation of staying together in a committed relationship, then we will not list it as a romance when other categories such as women’s fiction or alternative lifestyle relationship stories might appear to be a better fit. Similarly, murder mysteries, cozies, action thrillers, suspense, and so forth, have their own story requirements that readers expect to be fulfilled. If a story crosses genres, we may choose to list the story in multiple categories.

G. PRINT FORMAT AND PAGE LENGTH: Each book we publish will be offered in electronic format, but will only be offered in print when it earns $100 in gross sales royalties (prior to the split between publisher and author) and meets the page-count restrictions for a print issue. Exceptions to this will be made at our discretion. Authors with previous publishing history or with a relationship already established with us may be excluded from this condition, also at our discretion.

Novellas (short novels) should fall somewhere between 30,000 and 50,000 words and be complete with fully developed storylines that reach a logical conclusion at the end of the book.

At the present time we do not offer books in print that are less than 80 pages or exceed 300 pages when formatted for printing. It is at our discretion when and if such books will be offered in print under our contract terms.

Books exceeding 200,000 electronic word count will be edited for size and content, and may be split into smaller books to form a sequel or series. Note that it is highly unlikely that a reader would want to read an ebook version of a book that exceeds 200,000 electronic word count, as the file size and dedicated reading time might prove prohibitive. Based on these observations, we limit book size accordingly and will require editing for submissions that exceed these stated limitations.

H. MARKEING, PROMOTION, AND PUBLISHING MODELS: While we are committed to publicizing the books in our catalog through face-to-face meetings with booksellers, by word of mouth, and through paid advertising, we are a small independent publisher and do not have the resources to set aside publicity funds for individual books or authors. All authors whose work we publish are expected to engage in their own marketing efforts, chosen at their discretion and expense. We may recommend promotional or marketing venues and coordinate promotional activities, but the choice of individual marketing efforts and attendant costs are at the author's discretion and expense. Authors should realize that sales of their books are directly dependent on effective promotion, and we cannot promise or project sales volumes. We want all authors to fully understand that the financial risk of publishing is borne by our publishing company, and that sales promotion is a joint partnership effort - all authors must pull their weight and not expect one or two people to finance and participate in the bulk of promotion for the benefit of everyone else who chooses not to participate.

Our decision whether or not to accept an author's work for publishing will depend greatly on our perception regarding the author's willingness and ability to self-promote. We want all prospective authors to understand that selling books is a joint effort, and those authors who can create a 'brand' or 'platform' for themselves will stand out from the millions of other hopeful authors trying to sell their books. Our success as a publisher and your success as an author depends directly on our combined ability to sell books.

While we can make no promises regarding projected sales or royalties, we also do not pay advances for expected royalties. Our willingness to provide publishing services will be based on the expectation of eventually earning back our investment through sales royalties we split 50/50 with the author.

POD PRINTING. Penumbra Publishing exclusively employs print-on-demand technology as a cost-saving measure that minimizes warehousing needs and environmental impact. Most chain bookstores definitely will not order or shelve POD books due to the non-returnable nature of POD. POD books are literally printed on demand, one or two at a time, to fulfill orders as they come in to the printer. Chain bookstores order book copies with the understanding that if they don't sell within a month or so, the books can be remaindered (destroyed) or sent back at the publisher's expense for a refund, in order to open shelf space for new incoming titles. Because POD technology is more expensive per book than large- or small-print-runs, and is based on order fulfillment, returns are not accepted. Therefore chain bookstores will not order them.

This has nothing to do with the quality of the printing or the writing. It is simply an economic platform fostered by bookstores that is long overdue for change. (After all, what other retailer of goods expects the manufacturer to pay for the return of unsold items - even damaged ones?) Due to this, authors who publish with us should not expect their books to appear in bookstores across the nation. Our sales depend almost entirely on electronic bookstores, and our titles are listed online at Amazon, and most of the time will appear at Barnes and Noble and other popular online retailers like Apple and Sony.

A NOTE ABOUT SUBSIDY / VANITY / SELF-PUBLISHING. Many knowledgeable and respected book reviewers and other sources of authority and information about the publishing industry erroneously assume that any POD (print-on-demand) book is inferior to books put out by larger more established publishers, and that small-press books are not written well or not edited properly. Also, publishers who employ POD are routinely labeled as not a legitmate or trustworthy publisher (using PublishAmerica as a prime example - which charges authors for all pre-publishing costs and then never makes a concerted effort to sell the books because their money is already made off the author's initial investment). This assumption is false and based on ignorance or misinformation. The truth is, all larger, well-established traditional publishers offer titles of lesser-known authors in trade paperback, often employing POD technology for titles they expect will not sell tens of thousands of copies like mass-market paperback titles usually do. The POD publishing model alone is not a valid reason to lump all independent small publishers together with self-published authors and vanity publishers like PublishAmerica.

OUR GOAL as a publisher is to sell the titles we publish in order to pay for all our up-front costs associated with publishing that title, including editing, cover design, and ISBN, in addition to distributor fees to get the title distributed in various sales venues. Additionally, we set out to do our best to help each title reach its full sales potential so that the author can benefit from the sale of his/her books. All titles bearing the logo of Penumbra Publishing will go through this same rigorous process.

We therefore do not want to be confused with subsidy or vanity publishers, even though we may, upon request from authors wishing to maintain all control of their intellectual property during the pre-publish process, provide ala carte services such as editing, formatting, and cover design at a set fee. We occasionally do this to offer alternate publishing models to fit the needs of authors who do not want a traditional publishing experience. Our focus remains on publishing titles in the traditional and accepted manner - namely, making our money on royalty percentages when the title sells.

I.  ADVANCES ON EXPECTED/PROJECTED ROYALTIES: Many large traditional publishers and well-established small publishers may offer authors an advance on royalties, based on the anticipated selling popularity of a contracted manuscript. Penumbra Publishing does not offer advances at this time and does not expect to do so in the near future. This is not a negotiable contract term.

J.  PROFESSIONALISM: Authors may have many doubts, fears, and questions about publishing. We hope this information is of help, and are glad to answer other questions not covered here. We do not, however, give out personal background information or private phone numbers and other contact information of our staff and do not consider such requests a legitimate part of investigating our business for consideration as a potential publisher.

Penumbra Publishing expects all authors to be emotionally mature and stable enough to enter our community with the best of intentions. Underage authors will be required to have a legal guardian co-sign their publishing contract. Every author should be able to accept constructive criticism graciously and behave in a respectful and productive manner. Individuals who experience problems with our services are asked to please bring them to our attention privately so that we can make reasonable attempts to correct those problems. Our time and effort will be devoted to authors who approach us in a professional manner and are genuinely seeking publication of their work. Habitual troublemakers and complainers with negative attitudes need not send us queries. Life is too short to waste precious time on unpleasant individuals.

K.  SUBMISSION GUIDELINES FOR AUTHORS REQUESTING PUBLICATION: Please do not send query letters asking us if we'd be interested in publishing your manuscript unless you ATTACH YOUR ENTIRE COMPLETED MANUSCRIPT plus introduction letter and story summary so that we have this required package of material to review for a publishing decision. If we like your manuscript and have the entire manuscript to look over, we can respond with an acceptance. If we don't have the entire manuscript, then we will have to email to request the rest, which will delay our decision and follow-up response. So, the faster you get the entire manuscript to us, the faster we can make a decision. If you do that up front as requested, the process goes more smoothly, and we appreciate the fact that you have actually read and followed our submission guidelines - a plus for you with brownie points!

If you are concerned about sending your entire manuscript for whatever reason, it should not be because you are concerned about us stealing your work. We have a hard enough time selling work we like. We certainly aren't going to steal work we don't think is ready to publish. To put it simply, we do not steal other people's work. If you send us your entire manuscript, we may elect to keep it for future reference only, but will not share it or use portions of it whether or not we make a publishing offer and whether or not you decide to publish with us.

  1. SUBMISSION PACKET. The submission packet consists of two parts, the EMAIL and the ATTACHMENT. Your EMAIL will be your initial letter of introduction and should give the following information.   1. OUR REPLY (WITH OR WITHOUT CONTRACT). After we've received your submission materials described above, we will send you an email ackowledgement of receipt, usually within three days of receipt. Once the materials have been reviewed and we have made a publishing determination, we will email you to inform you of that determination. If we feel more information is needed, our follow-up email will request that information. If we feel your manuscript is not a suitable match for our publishing efforts, we will inform you and explain why that decision was made.

If we feel your manuscript is not acceptable in its current state, we will explain to you why we have made that determination and may give you suggestions for modifications to resubmit. These suggestions are our opinion only, and are not to be misinterpreted as a conditional offer to publish. If you decide to make noted changes to your manuscript, you may resubmit at any time for reconsideration.

If we feel your manuscript is acceptable for publishing, you will receive an acceptance email with a draft contract attached as a PDF. If you wish to make changes to the contract, please note changes in your response email. Once a final contract is agreed upon, you must email your official acceptance of the referenced contract, or print it out, sign and date it, and mail it to our physical address listed on the contract. The contract stage entails additional steps, but these will be discussed individually once the submission process reaches that stage.

Additionally, for royalty payments to be delivered, you will need to provide a PayPal account email address, as that is the only form of royalty payment we currently have in place.

II. SUBMISSIONS GUIDELINES FOR AUTHORS OR PUBLISHERS SEEKING SALES PROMOTION ON OUR WEB SITE

FREE BOOK LISTINGS. Penumbra Publishing is happy to consider independentl published books to include in our online web site catalog listing. This listing service is free for independent authors and publishers. Listings on our web site of books from independent authors and publishers will have the same look and function as listings for books we publish, that are included in our regular book catalog. However, the publisher information will be included in independent listings to ensure buyers can properly identify and locate books we do not have on hand for direct sales through our site.

Additionally, authors who provide a short bio and URL for their web site will have a personal listing included with listings of other authors on our 'authors' web page.

To get a book listed on our site, please email us for specific details. We we may limit the number of books we'll list for FREE, or exclude titles that we feel violate our publishing policies. These decisions are at our discretion but may be discussed if supporting documentation is provided to help change our decision. Listings and references to the book can be removed upon request with seven business days written notice via email.

FREE PUBLISHER LINK BUTTON. Publishers and independently published authors who want extra promotional exposure for their web sites can request a button or banner link to their web site to be placed on our web site. We will create a button and list it with others in an area reserved for this purpose. This area will be available on every page of our web site. Publishers should provide the URL to their web site home page for this type of service. Links can be removed with seven business days notice via email.
